*This customer-facing receptionist position provides a lasting first impression for all calls and walk-in traffic in the Fargo branch, and simultaneously supports the administrative team for the enterprise as a whole.*

This customer-facing receptionist position provides a lasting first impression for all calls and walk-in traffic in the Fargo branch, and simultaneously supports the administrative team for the enterprise as a whole. It requires a motivated, self-

starting individual with strong computer knowledge, a positive and professional demeanor, and excellent organizational

skills.

**Essential Functions****:**

Provide excellent customer service with a positive, helpful attitude

o Answer, screen and route incoming phone calls and voicemails

o Assist with walk-in traffic

Track calls and emails from website requests for estimates; prepare related reporting

Create Purchase Orders in ERP system as needed

Maintain a safe and clean office environment

o Reception Area

o Kitchen area

o Conference Room

Provide back-up administrative support to include, but not limited to:

* Draft proposals

* Create Potential Project entry in ERP system

* Document creation

* Copying, faxing, and filing of documents

* Prepare letters and mailing labels for customer thank you letters and outreach projects

* Provide completed W-9 and Certificate of Insurance forms upon request

* Notary Services

* Assist with Event Planning

+ Receive and sort incoming mail, date stamp, and distribute

- Scan checks and distribute to AR

- Scan invoices and distribute to AP

+ Prepare outgoing mail

+ Fold, envelope, and affix sufficient postage

+ Maintain Metered Postage Machine

- Assure sufficient postage funds are available

- Assure supplies are on hand

+ Update instructional manual as needed

- Assist in ordering, stocking and distributing office supplies

- Maintain inventory of all office supplies, including upstairs

- Maintain employee and department directories

+ Maintain and update contact directories and other server documents

+ Provide additional back-up support as needed

+ Other duties as assigned by Office Manager

**Qualifications, Knowledge, Skills and Abilities:**

BS degree in Construction Management, Engineering, Business or related field from an accredited college or 3+ years of Project Management experience with a willingness to learn.

**Experience and Skills Required:**

Associates degree preferred

One to three years of experience in an administrative role

Proficient in Microsoft Office Suite

Basic understanding of clerical procedures

Excellent organizational skills and attention to detail

Excellent verbal and written communication skills

Excellent interpersonal and customer service skills

Ability to establish and maintain effective working relationships with others

Ability to work independently
