Description:

We are looking for an individual to join our team as a Purchasing Associate at our Technical Services Center, Moorhead, MN. The purpose of this position is to provide overall support to the purchasing department, while focusing on procurement, internal customer needs, and contractor/vendor management. The purchasing associate will administer the purchasing module of First Verify, coordinate, and administer the Master Services Agreement (MSA) in conjunction with the capital buyer.

The principal accountabilities include, but are not limited to:

  • Lead and promote a positive work culture through Company Values of Safety, Integrity, Quality, Teamwork, and Accountability.
  • Promptly and effectively coordinates and manages the Master Services Agreement program in conjunction with the Capital Buyer. Ensures eligible contractors have executed the agreement, monitors insurance certificates to make sure contractors carry the required insurance coverage specified by company policy.
  • Purchases and expedites materials, supplies and equipment in accordance with existing purchasing policies and guidelines. Provides backup procurement and expediting for purchasing staff, as requested; copier procurement and related maintenance management for Corporate and Technical Services Center, as well as copier procurement support at all ACSC locations, and advertising specialties procurement.
  • Coordinates workflow of the department to include phone coverage; screening and distributing mail; processing orders, quotes, correspondence, etc.; maintaining an effective departmental filing system which includes both physical and electronic document control; departmental support for meeting coordination including room set up/clean up, and managing meals and catering requests for the department, and renewing license tabs on leased vehicles company wide.
  • Expedites and coordinates with Purchasing Department, internal customers, and vendors using appropriate communication methods.
  • Minimizes downtime by ensuring sufficient supplies are available through coordination of inventory and effective communication.
  • Sets up new purchasing vendors (supplier vendors) in the company ERP system, an SAP application. Administers and manages purchasing vendor updates within the ERP system.
  • Acts as a SAP super user. Provides support, advice and recommendations regarding the MM cycle to SAP users and assists with testing upgrades prior to implementation.
  • Coordinates the disposal of obsolete equipment as specified and requested per proper guidelines and company policy.
  • Performs material movements within ERP system for all coal train related transactions. Identifies and communicates any issues or imbalances immediately to Material Supervisor for resolution support.
  • Manages annual purchasing document retention process according to company policies.
  • Coordinates and manages annual United Way vendor/contract donation solicitation.
  • Other duties as assigned.
To be successful in this position requires a general knowledge of administrative work and the purchasing process typically gained through a 2-year degree in office administration or a related field and 2 to 3 years of purchasing related experience. Strong computer skills are required, experience working with a computerized purchasing system is preferred. The ability to develop and maintain effective working relationships and negotiating skills are critical. Strong attention to detail, the ability to effectively prioritize multiple and changing demands/deadlines, and the ability to effectively plan and work ahead of upcoming deadlines are required skills.

Compensation Range:

$24.19 - $30.24 /hr
