Senior Machine Inventory Specialist

We're looking for a Senior Machine Inventory Specialist to play a critical role in managing machine and attachment inventory across the organization. This position supports sales teams, partners closely with vendors and internal stakeholders, and helps ensure inventory accuracy, financial integrity, and smooth order fulfillment.

What You'll Do Inventory & Order Management
  • Monitor new inventory items as they move into sale status and ensure accurate system updates.
  • Order machines and attachments, determining when to source new equipment versus utilizing existing inventory.
  • Set up new inventory records, including machine features, costs, and identification details.
  • Track machine and attachment transfers and maintain timely, accurate availability information.
Sales & Stakeholder Support
  • Serve as a primary point of contact for sales teams on inventory-related questions and issues.
  • Research inventory options, coordinate with other dealers, and provide timely updates and solutions.
  • Communicate clearly regarding orders, backorders, work orders, and service or support cases.
Financial & Program Support
  • Manage vendor program dollars, ensuring accurate claims, coding, and accruals.
  • Code invoices, review costs against vendor quotes, and partner with Accounts Payable as needed.
  • Review and update accounting accruals to help ensure expected margins are captured.
  • Monitor subscriptions and notify internal partners of upcoming expirations.
Analysis, Reporting & Process Improvement
  • Maintain spreadsheets and reports for forecasting, pending sales, and equipment needs
  • Review KPIs and operational data to confirm business performance and identify improvement opportunities
  • Assist with supply chain issue resolution, including shipment errors and backorder follow-up
  • Contribute ideas and support implementation of process improvements and shared documentation
What You'll Bring
Education & Experience
  • Associate degree (2+ years) in Business or a related field required
  • Experience with equipment inventory or vendor ordering systems is a plus
  • Previous experience using a CRM system preferred
Skills & Competencies
  • Strong attention to detail and organizational skills
  • Clear written and verbal communication skills
  • Proficiency with Microsoft Office and general computer systems
  • Basic accounting and financial knowledge
  • Ability to prioritize work, meet deadlines, and manage multiple requests
  • Comfortable working both independently and as part of a collaborative team
