Mazda & Kia of Fargo is seeking a full-time Automotive Warranty Administrator / Service Booker to support our Service Department by processing warranty claims, managing service workflow, and assisting with basic accounting and administrative functions. Key Responsibilities
  • Process and submit OEM warranty claims accurately and in compliance with manufacturer guidelines
  • Review and verify warranty documentation for completeness and accuracy
  • Oversee drive lane and service booking workflow to ensure efficient vehicle throughput
  • Schedule and book service appointments as needed
  • Distribute repair orders efficiently among technicians
  • Monitor technician productivity and help maximize labor utilization
  • Provide concierge-level support to service customers in person and by phone
  • Collaborate with service advisors, technicians, and management to resolve issues
  • Maintain accurate warranty, service, and accounting records
  • Assist management with clerical and administrative duties as needed
Daily Duties
  • Calculate customer invoices using the dealership's DMS (Dealer Management System)
  • Process customer payments (cash, check, and credit card) accurately
  • Post transactions to repair orders and issue receipts
  • Answer and route incoming phone calls professionally
  • Address and resolve customer concerns or escalate appropriately
  • Maintain consistent communication to minimize customer wait times
  • Follow internal dealership procedures and service department workflows
Qualifications & Skills
  • Previous experience as a Warranty Administrator, Warranty Clerk, Service Booker, or Automotive Service Assistant preferred
  • Automotive dealership or service department experience strongly preferred
  • Working knowledge of OEM warranty procedures and DMS systems (CDK, Reynolds, Dealertrack, etc. a plus)
  • Strong attention to detail and basic accounting skills
  • Excellent customer service and communication abilities
  • Ability to multitask in a fast-paced automotive service environment
  • Professional appearance and positive, team-oriented attitude
  • Availability to work flexible weekday and weekend hours
  • Valid driver's license and clean driving record
