The Global Family & Private Investment Offices team ("GFO") is a sales and client servicing group, within the Wealth Management division, specifically dedicated to supporting ultra-high net worth individuals and families (>$200m of investable assets), their charities and foundations. Given their wealth, these families act like institutions but require a personal and high touch approach, as well as the highest level of discretion. Our families' wealth is mixed in nature with some being multi-generational inherited wealth and some being new entrepreneurial wealth. With the diversity of their investments, they often take a broad range of products and services from Northern Trust including asset servicing (custody), fiduciary, fund administration, investment management and banking/credit.

The Sr. Administrative Assistant will be responsible for providing administrative support to managers and other partners in the department.

Key responsibilities:

1. Provides administrative support to senior managers or other partners in the department.

2. Composes and creates documents, spreadsheets and/or presentations.

3. Maintains and organizes paper and electronic files. Ensures confidentiality.

4. Manages database files.

5. Handles and confirms travel arrangements and processes travel expense reimbursements.

6. Schedules meetings and conferences.

7. Works on special projects, such as gathering, inputting and compiling information for reports as required by manager or other partners in the department including legal billing, credit committee submission, agenda and other related administrative duties tied to credit committee, past due loan report.

8. Track or monitor expenses for the department.

9. Greet or assist clients and/or vendors.

10. Responsible for identifying and resolving problems within established guidelines.

11. Expected to take initiative but refer more complex problems to supervisors/experts.

12. Works effectively as a team member but also independently.

The successful candidate will benefit from having:

  • Excellent verbal and written communication skills are required.
  • Basic Functional / Financial Industry Knowledge is preferred.
  • Analytical and problem-solving skills are required.
  • Advanced technical skills / systems knowledge (e.g. Microsoft Word, Microsoft Excel, Concur, Peoplesoft, Workday, SharePoint) are required.


Experience includes:

Previous administrative supportive experience or completion of professional administrative support training is preferred.

Salary Range:
$52,800 - 79,200 USD

Salary range is a good faith estimate of base pay. Northern Trust provides a comprehensive benefits package including retirement benefits (401k and pension), health and welfare benefits (medical, dental, vision, spending accounts and disability), paid time off, parental and caregiver leave, life & accident insurance, and other voluntary and well-being benefits. Northern Trust also provides a discretionary bonus program that may include an equity component.
