Summary of Job: The HR Coordinator is responsible for supporting employee file integrity and non-licensed credentialing while ensuring continuous compliance with organizational, regulatory, and accreditation standards. This role serves as a key partner in maintaining audit readiness across the employee lifecycle, with direct involvement in internal and external audits, including Medicaid, Medicare, and standards set by The Joint Commission.
The HR Coordinator ensures all employee documentation is accurate, complete, and compliant, and supports timely preparation and response to audit requests. This position plays a critical role in identifying compliance risks, resolving discrepancies, and strengthening processes to support regulatory adherence and operational excellence. Through collaboration with HR, Operations, and leadership, the HR Coordinator helps drive a culture of accountability, ensuring that employee records, credentialing requirements, and compliance practices consistently meet both internal standards and external regulatory expectations.
Essential Duties and Responsibilities:
- Compliance Support:
- Support the credentialing lifecycle for current employees, ensuring all non-licensed credentials, certifications, and compliance requirements are obtained, tracked, and maintained in accordance with organizational, regulatory, and contractual standards.
- Maintain proactive and timely communication with employees and leadership to ensure all credentials and compliance requirements remain current, valid, and audit-ready at all times.
- Monitor and stay current on federal, state, Medicaid, Medicare, and accreditation requirements, including standards set by The Joint Commission, to ensure continuous compliance with contract and regulatory obligations.
- Audit & Regulatory Readiness:
- Conduct comprehensive and routine employee file audits, ensuring accuracy, completeness, and compliance with internal policies as well as external regulatory and accreditation standards.
- Support and maintain Medicaid and Medicare audit readiness, ensuring documentation, credentialing records, and employee files meet payer requirements and withstand external review.
- Serve as a primary point of contact for internal and external audits, including Joint Commission surveys, payer audits, and regulatory reviews, ensuring timely coordination and professional communication with auditors.
- Prepare, organize, and submit audit documentation, reports, and responses, ensuring all materials are accurate, complete, and delivered within required timelines.
- Issue Resolution and Continuous Improvement:
- Identify, investigate, and resolve discrepancies or deficiencies uncovered during audits, partnering closely with HR, Operations, and department leadership to implement corrective actions and prevent recurrence.
- Contribute to the development, enhancement, and enforcement of compliance processes, audit protocols, and standard operating procedures (SOPs) to strengthen organizational readiness and reduce risk.
- Risk Mitigation:
- Assist in compliance-related investigations, including employee concerns, policy violations, or regulatory inquiries, ensuring proper documentation and alignment with organizational standards.
- Ensure adherence to Recovery Innovations' compliance framework, including the Code of Conduct and Conflict of Interest policies, while promoting a culture of accountability and regulatory excellence.

- Education/Licenses:
- High School Diploma or equivalent required; Associate's or Bachelor's degree in Human Resources, Healthcare Administration, or related field preferred.
- Experience:
- Minimum of three (3) years of compliance and audit experience within healthcare.
- Skills:
- Excellent computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong data entry skills with a high level of accuracy and attention to detail.
- Experience working within HRIS systems and maintaining employee records preferred.
- Effective verbal and written communication skills.
- Strong interpersonal and customer service skills, with the ability to support employees and leaders professionally.
- Excellent organizational and time management skills, with the ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail, particularly in audit preparation and documentation accuracy.
- Ability to maintain strict confidentiality and handle sensitive information in accordance with HIPAA and organizational standards.
- Proven knowledge of employment laws, HR practices, and regulatory requirements.
- Understanding of audit processes, compliance standards, and documentation requirements within healthcare environments.
- Ability to support audit readiness by maintaining accurate, complete, and compliant employee records.
- Ability to maintain a high level of professionalism and confidentiality at all times.
- Ability to work independently and collaboratively within a team environment.
- Driving Requirements:
- If driving is required for this position, must meet all requirements outlined in Recovery Innovations driving policy.
- If not qualified to drive per driving policy, a Non-Driver Attestation form must be signed.
- Miscellaneous Requirement(s):
- Travel required based on business need.
- Must be at least 18 years old unless residing in a state where funder or government regulations set a different minimum age requirement.
- Ability to maintain a high level of confidentiality (HIPAA guidelines and regulations) and professionalism.

Work Environment May work in an office environment or behavioral health facility. May have contact with individuals who are agitated and/or confused. Work may include travel throughout the geographic region
