The Jamestown Public School District is seeking a candidate to fill the position of High School Activities Office Assistant for Jamestown High School.

This position works directly with the Athletic Director and is a full-time 12-month position that includes health insurance, life insurance, state retirement, paid sick leave and vacation time.

Starting wage is between $17.69/hour and $18.28/hour

SUMMARY:

The High School Activities Office Assistant provides administrative and clerical support to the Athletics and Activities Director and assists in the daily operations of the Jamestown High School Activities Department. This position coordinates athletic and activity logistics, maintains student eligibility and participation records, processes financial transactions, and serves as a primary point of contact for coaches, students, parents and the public.

QUALIFICATIONS:

  • High school diploma required; associate degree preferred
  • Prior office or administrative experience preferred
  • Strong organizational and time management skills
  • Strong communication and customer service skills

PHYSICAL REQUIREMENTS:

Work is primarily performed in an office environment and requires the ability to sit, stand, walk, and use standard office equipment, including a computer and telephone, for extended periods of time. The position may require occasional lifting of materials up to 25 pounds. The employee must be able to communicate effectively in person, by phone, and through written communication. Regular attendance and the ability to meet deadlines are essential functions of this position.

PERFORMANCE RESPONSIBILITIES:

Athletics & Activities Support
  • Assists the Director of Athletics/Activities in the daily operation of the Activities Department.
  • Coordinates transportation scheduling for athletic teams and activities, including district vehicles.
  • Arranges hotel accommodations for traveling athletic teams, coaches, and activity groups.
  • Assists with processing transportation and Fleet (WEX) fuel card transactions.
  • Assists with processing invoices and vouchers related to activities and athletics.
  • Maintains online activity schedules and facility calendars.
  • Serves as tournament secretary for NDHSAA events hosted by Jamestown High School.
  • Coordinates Drivers Education registration.
Student Records & Eligibility
  • Collects and maintains activity fees, eligibility forms, and athletic physicals.
  • Maintains records of Coaches Education certifications.
  • Maintains confidential records related to alcohol, drug, and tobacco violations.
  • Administers the Activities module within Infinite Campus.
  • Runs weekly grade reports for coaches and activity advisors.
  • Prepares and maintains team rosters for athletic programs and publications.
  • Maintains Jamestown High School information on the NDHSAA website, including schedules, rosters, team photos, and related information.
Financial & Event Support
  • Prepares, reconciles, and deposits gate receipts.
  • Prepares deposits for activity and fundraising accounts.
  • Coordinates scheduling and payment processing for ticket workers.
  • Processes purchasing card documentation and submits invoices for payment.
Administrative Support
  • Assists coaches with end-of-season paperwork and award certificates.
  • Prepares and distributes the weekly activities schedule to staff.
  • Assists the attendance clerk and high school secretary as needed.
  • Serves as backup to the high school receptionist by answering telephones and assisting visitors.
  • Works with the counseling department to provide scholarship award information.
  • Performs other duties as assigned.
