About the Opportunity
Nodak Insurance Company is seeking an experienced Executive Assistant to provide administrative support to the President & CEO. The successful candidate will actively anticipate the needs of the CEO, protecting their time to ensure they are optimized for their highest and best use. This person will work independently on important matters, communicate professionally on behalf of leadership, and keep the executive office running smoothly. The ideal candidate is organized, detail-oriented, and thrives in a fast-paced environment bringing support and direct impact at the leadership level which requires discretion in handling confidential information to preserve credibility and trust.
KEY RESPONSIBILITIES TO ACHIEVE SUCCESS
The Key Accountabilities for the position include but are not limited to the following:
Meeting Preparation, Materials & Documentation
Prepares and organizes materials for Board of Directors meetings, the annual public meeting, and senior leadership team meetings. Coordinates logistics including agenda development, attendee communication, and follow-up documentation. Uses each meeting as a chance to build relationships with board members.
Travel Coordination & Logistics
Arranges all travel accommodations, transportation, and itineraries for the CEO. Manages travel-related correspondence, expense documentation, and calendar coordination to ensure seamless business travel.
Document Management & Records Organization
Prepares reports, presentations, data and serves as the custodian of corporate documents, files, records, and correspondence. Assists corporate secretary and CFO with corporate compliance, public annual meetings and handles confidential information with discretion and professionalism.
Executive Calendar & Communication Management
Independently manages the CEO's calendar, mail, and daily/weekly/monthly schedule prioritization ensuring calendar efficiency. Draft, prepare, and edit documents, providing professional written and verbal communication on behalf of the CEO as needed, maintaining discretion with sensitive information and acting as a primary point of contact for executive-level scheduling and coordination.
